How to pull off a surprise birthday dinner at a 30A rental

By Hibachi Bachelorette3 min read

A surprise is hard enough at home. At a rental house, where the guest of honour is staying under the same roof as the party, it comes down to timing, one decoy and the right side of the house.

The short answer

For a surprise birthday dinner at a 30A rental, work backwards from the seating time: the chef arrives 45 minutes before, so plan an outing that takes the birthday person away for about an hour, set up somewhere they will not walk past, and tell us on the booking form that it is a surprise and who it is for.

Why a surprise is harder at a rental house

At home, a surprise party means getting the birthday person out of the house for an hour. At a 30A rental the birthday person is staying in the house, probably with the people organising the surprise, and dinner involves a chef, a grill and a table being set up on the deck they can see from the kitchen.

It is still very doable. It just needs a plan built around the one thing that cannot be hidden, which is the setup.

Work backwards from the seating time

We arrive 45 minutes before the seating to set up, and dinner runs about 90 minutes from the first course to the fried rice. So for a 6:30 seating we are at the house at 5:45, and the birthday person needs to be somewhere else from about 5:30 until the group is seated.

That is roughly an hour, and on 30A the natural decoy is already built in: a walk on the beach before sunset, a bike ride into Seaside or Rosemary Beach for a drink, or a "quick" errand that a co-conspirator makes take as long as necessary. Whoever runs the decoy should have the timings and a way to hear when the table is ready.

Choose the side of the house they will not see

We need about 6 ft by 4 ft of flat, level ground with open sky above and 3 feet of clear space for the chef. Most rental houses have at least two places that qualify, so pick the one the birthday person is least likely to walk past.

The driveway, or the carriage-house parking pad that so many Rosemary Beach houses have, is usually the best hiding place, because nobody looks at the drive on a beach afternoon. A pool surround visible from the living room is the worst. If the house only has one workable spot, the decoy simply has to be longer. Keep one space on the drive free for us to unload, and make sure any gate code reaches us before the day.

Tell us it is a surprise

Say so in the booking notes, along with who the birthday is for, and make sure the phone number on the booking belongs to someone in on the secret rather than the birthday person.

It also changes how we run the reveal. The onion volcano is timed to whoever the evening is about, so the chef will hold it until the birthday person is seated and looking. If you want the moment they walk round the corner on camera, decide who is filming before they get back.

If the weather turns

We cook under open sky, so heavy rain is the one thing that genuinely stops us. We never cook indoors, in a garage or under a screened porch. If the forecast is bad we talk to the booker the day before about moving the time, moving to a covered-but-open space such as a carport with an open front, or rescheduling. A surprise can survive moving by an hour; it is worth knowing which co-conspirator can quietly rearrange the decoy.

What a surprise birthday dinner costs

The same as any other: $60 per adult with two proteins or $70 with three, children aged 5 to 12 at $30, and a $500 party minimum on the food total. 7% Florida sales tax and a 20% gratuity are added, and there is no travel fee anywhere on 30A.

A group of 10 adults at the standard rate comes to $762 all in. A $200 deposit holds the date and comes off the final balance, and guest counts can change up to 72 hours before, which helps when a surprise guest list is still moving. The birthday page has the full table.

Questions people ask

Can a private chef set up without the birthday person noticing?

Usually, yes. We arrive 45 minutes before the seating, so the birthday person needs to be away for about an hour. Setting up on the driveway or a carriage-house pad rather than the main deck makes it much easier to hide.

What time should a surprise birthday dinner start?

Most groups book 6:00 or 6:30. Work backwards from it: we arrive 45 minutes before, so plan the decoy to start a little earlier than that and end when the table is ready.

Will the chef do anything for the birthday person?

Yes. Tell us who it is for on the booking form and the onion volcano is timed to them, once they are seated and watching.

Do we need to bring anything?

The drinks and the cake. We bring the grill, the fuel and the food. Tables, chairs, plates and utensils are yours unless you add table setup at $12 per guest.

Tell us the date and the house

Two steps, a running estimate as you go, and a straight answer back. No sales call.
